Clients invitations

Invite your clients to join you on Suplery! Simplify your workflow and improve communication with your clients. Use Suplery to manage orders, keep clients informed about new products, and enjoy easier communication. Plus, orders from clients who join through your invitation often have lower fees. We're committed to helping you build strong relationships with your clients, and Suplery is a key part of that. The Clients Invitations tab on the Clients page helps you keep track of invitations you've sent to your clients to join you on Suplery. It is located at the top of the Clients page, right next to the Clients tab. See a clear list of all invitations you've sent, including: company name, date of last invitation, and invitation status. Quickly find specific invitations using the search bar. You can search by: - Phone number - Email address - Company name - Client name This tab gives you a central location to monitor the status of your invitations. What are the statuses of invitations Suplery keeps you informed about the status of your invitations, making it easy to track client responses. Here's a breakdown of the statuses you'll see: - Pending : these invitations have been sent to your clients and are waiting for their response. Suplery will automatically resend reminders after 10 days and again at 60 days to ensure your clients don't miss them. - Overdue : if a client hasn't responded to your invitation after 90 days, it will be marked as overdue. - Accepted : great news! Your client has accepted your invitation and is now ready to collaborate on Suplery. - Rejected : the client has declined your invitation to join Suplery at this time. By default, you'll see all your invitations listed together, sorted by their date. How to invite a client Inviting clients to Suplery is easy and offers significant benefits for both you and your customers. We'll guide you through three methods to get started: 1. Manual invitation: enter your client's information directly into a dedicated field for a quick invite. 2. Invitation template: use our pre-built template to quickly send personalized invitations to your clients. 3. Invitation Link: generate a unique link to share with your clients via email or other communication channels. Be mindful when inviting clients. Only send invitations to email addresses you have permission to use. Make sure your invitations follow our guidelines. Sending spam or breaking our rules can lead to your account being blocked. How to invite clients manually Here's how to send a manual invitation to a client on Suplery: 1. Click Invite clients. 2. Enter your client's name and either their phone number or email address line by line. 3. Once you've added the data, click Send invitation. How to invite clients via link Suplery's invitation link is a handy way to invite your clients to join the platform. Here's how it works: 1. Click Invite clients. 2. Click Copy link. This will copy a unique invitation link to your clipboard. 3. Share the link with your client via email, messaging app, or any other communication channel. 4. When your client clicks the link, they'll be directed to a Suplery registration page where they can easily create an account and start collaborating with you. How to invite clients via template Suplery's invitation template is a great way to send personalized invites to multiple clients at once. Here's how to use it: 1. Click Invite clients. 2. Look for the template link and click on it. This will download a spreadsheet to your computer. 3. Open the downloaded file and fill it out. It's straightforward β€” enter your client's name in one column and their contact information (phone number or email) in another. 4. Save the completed file with your edits. 5. Go back to Suplery and click Send invites via template. Upload the saved file containing your client information. How to resend client invitation To easily resend an invitation, click Resend next to the invitation status in the invitations list. Why can't I resend the invitation to the client? We allow only 3 resending invitations per client to avoid overwhelming them. If you've already sent 3, you can't resend them anymore. How to cancel client invitation 1. Find the invitation you want to cancel in your client invitation list. 2. Click the Delete icon to cancel the invitation. What happens when a client accepts an invitation There's great news! When a client accepts your invitation to join Suplery, several things happen: - Your client will automatically be added to your Suplery client list, making it easier to find and manage them. - You'll appear on your client's supplier list within Suplery. This increases your visibility and strengthens the connection. - Now you can easily send orders to your client directly through Suplery's platform. They can also create orders for you, fostering a two-way communication flow. Suplery creates a central hub for win-win partnerships, making it simple and efficient to work with your clients.

Getting started

Product management

The Products page lets you easily manage your Suplery offerings. Here you can add new products to sell on the marketplace and manage existing products. Use the search bar in the top left corner to find specific items, or filter products by brand or status. Each product is displayed with key information in clear columns: - Product name - Status (indicates if it's awaiting verification, published, etc.) - Planned availability - Stock level - Wholesale price - Retail price (hidden for professional products) Once your product passes verification and we publish it, it could be visible to customers on the marketplace (if you activate this function in the settings). Existing products on our platform may not require verification. How to add products list 1. Click Add new products. 2. Click Download template, then open it on your computer and fill it out. 3. Click Add file and upload the completed template. Do I have another options, if the option with filling in the template does not suit me? I have a list of products in a different format No problems, we're happy to consider your products in a different format. For instructions on adding products without using a Suplery template, check out here. I've downloaded the products file, what's next? Once you choose your product file, Suplery will automatically scan it and display a message. This message might tell you: - If there are issues to be fixed before uploading. - If your file is all set and ready to go. Let's take a closer look at the different types of comments you might see. File uploaded successfully, all products are already in Suplery product base Great news! If the products you want to add are already in our system, you can skip the wait. Just click Add products immediately, and they'll be added to your product list right away. File uploaded successfully, all products recognized Everything looks good! There are no typos and all the data is filled in correctly. Just click Submit products to verification, and we'll review them for approval. We'll add them to your product list once they're verified. File uploaded successfully, but you need to register the brand We noticed some brands in your file that aren't in our system yet. To add these products, you'll need to register the brands first. We'll make it easy! How to add a brand: When you see a message about new brands, simply click Register brand (or brands, if there are few), then a window will appear. Here you can: - Add a brief description of the brands. - Select the country where the brands are registered. - Choose the country where the brand's products are made. Once you register the brand(s), you can submit your file again. Errors in product file If there are any errors in your product file, we'll clearly point them out. Here's how it works: 1. We'll let you know about any issues and provide a file for download. 2. The download will highlight the specific areas that need correction. 3. Simply fix the mistakes in your file. 4. Once everything is corrected, upload the file again. I sent the products for verification, what's next? Once you submit your products for verification, the Suplery team will review them within 2 business days. Here's what can happen next: Can I upload another file while the previous one is on verification? No, while your current product file undergoes verification, you cannot upload another one. This ensures our team can focus on reviewing your initial submission thoroughly. In the meantime, you can focus on other tasks or prepare additional product information for future uploads. All products from file have been added to Suplery Great news! All the products from your file have been successfully added to Suplery. You can now: - View them on the Products page. - Add more products whenever you're ready. Only some of the products have been added to Suplery We encountered some errors in your product file, but don't worry! Here's what you can do: 1. Download the file again. 2. We've highlighted the lines with errors in red so you can easily find them. 3. Fix the mistakes in your file. 4. Once everything is corrected, upload the file again. In the meantime, the products that passed verification are already available on your Products page. You can start managing those right away. Brand verification failed We noticed some inconsistencies with a brand you submitted for registration. It's an easy fix! We'll include a comment in the file highlighting the exact issue. Just click Update brand information and make the correction. How to upload products without using the Suplery template If filling out the product template isn't suitable to you, we will help! Just send us your product list and details in the format you have them already. Here's how: - Click on the Add new products. - Then click I have another file type. - Attach your product list file and any additional comments explaining any important information we need to know about your products Our team will receive everything and manually add your products to the Suplery platform for you.

Clients

Manage clients

The Clients tab helps you manage all your Suplery customers in one place. Here you can work with you active clients, client requests, and client invitations. The tab is separated by columns, showing important information for each client: including company name, date and time of their last order, assigned manager, and their average monthly order size. You can filter the list by assigned manager or client status (only active or archived clients too). Use the search bar in the top left corner to enter the company name. After the client has accepted your invitation, or you have approved their request, they can have different statuses. They can be active, meaning they use the platform. They might be blocked by Suplery. Or, you can archive a client. Client panel Clicking a client's name in the list opens their Client panel. This panel has three tabs for easy access to different information: general, messages, and orders. General client data tab The General tab gives you a quick overview of your partnership with the client. Here's what you'll find: - Client summary: see key metrics at the top, including last order value, monthly order average, total revenue generated, and how long you've been working together. - Client notes: add any important information or thoughts about the client directly in this section. Everything is saved automatically. It’s private and visible only to your employees. - Client details: view the client's company name, establishment photos, and legal information. You'll also see the manager currently assigned to this client. To change the assigned manager, simply click the edit icon next to their name. Messages tab Sending messages to your clients is easy! 1. Compose your message in the designated field. 2. Click Send to deliver your message to the client. 3. Wait for an answer. Remember to maintain a professional and polite tone in your communication. In case of violation Messaging content policy, your account would be suspended. Orders tab In Orders tab, you can monitor and review the client's order history. All orders are listed and divided into columns: order number, date, status, number of items, order amount, and delivery date. You can filter orders by status, or find a specific one using the search bar in the upper left corner of the tab. Possible order statuses: There are four possible statuses for an order, letting you know the current stage: - Proposed: the supplier has created a draft order that the client hasn't approved yet. - New: the client has placed a new order or accepted a previously proposed order. - Rejected: the client has declined a proposed order. - Archived: the proposed order was archived by the supplier. - Awaiting confirmation: the supplier recommended changes to the order, and the client needs to confirm the changes. - Awaiting payment: the supplier has approved the order, but payment hasn't been processed. - Refused: the supplier has declined the order. - Confirmed: payment has been received, and the order is ready to be processed. - Scheduling pickup: the order is packed, and the delivery label is being created. - Awaiting pickup: the carrier is scheduled to pick up the order. - Awaiting drop-off: the order is set to be drop-off. - Delivery: the carrier with the order is on its way to the client. - Fulfilled: the order has been successfully delivered to the client. - Unfulfilled: the order couldn't be delivered by the carrier. - Canceled: the client has canceled the order, or it was canceled automatically after 3 days in Awaiting payment status. For more information about order management, read here. How to assign new client manager to client 1. Click on the client's name from the client list. 2. Click the edit button next to the current manager's name. 3. Choose the new manager you want to assign from the list. That's it! The client will now be linked to the new manager. Who can be a client manager? Only an employee within Client manager role can be assigned as a client manager. To do this, you simply give them the appropriate role in the Users section of Suplery. How to archive and restore client To send a client to the archive: 1. Click on a customer name in the customer list. The client panel will open. 2. Click the Action button. 3. Select Send to archive. Archiving a client essentially blocks them from placing orders from your store. You can always restore them! To do this: - Filter the client list by all statuses or specifically by archived clients (they'll appear dimmed out). - Click on a customer name in the customer list. The client panel will open. - Click the Action button. - Choose Restore from archive. What does Blocked client mean? A blocked client status indicates that Suplery's team has restricted this client's account due to a violation of our platform rules. You cannot create new orders for this client or restore their account from the archive.

Public company profile

Your Suplery company profile is how potential buyers discover you and your products. It's crucial to create a clear and informative profile that grabs attention and increases sales. Here's how to find how your public profile looks and edit it: 1. Log in to the Suplery platform. 2. Click on Company on the right side of the screen. We'll guide you through each section of your profile, explaining what information to include and how to present it for best results. This will ensure your profile is informative and helps you attract new buyers! Company cover image To personalize your company profile, begin by uploading a cover image. This image will be the first thing visitors see, so choose one that effectively represents your brand. Select an image between 800 and 5000 pixels wide by 200 and 3000 pixels tall, and in .jpg, .jpeg, .webp, or .png format. Please avoid including trademarks without proof of registration or promotional text within the image itself. How to choose good cover image Here are some simple tips to ensure your cover image makes a good impression: - Pick an image that reflects your company's style. Think bright and airy photos that capture your brand's personality, or clean, minimalist designs featuring a few of your products. - A blurry or pixelated image isn't a good look. Choose a high-resolution image that's clear and crisp. - Make sure your image is well-composed and not cropped in a way that cuts off important details. - Showcasing your products is great, but avoid cluttering the image with too many items or focusing on just one product. Company logo Your logo helps buyers identify your products and orders. Here's what to keep in mind when uploading your logo: - Only use logos you have the rights to (or have permission from the owner). - Logos should be image-only, without advertising text or photographs. - No vulgar or offensive content is allowed. - Upload a clear image between 200x200 pixels and 3000x3000 pixels, in .jpg, .jpeg, or .png format. The file size must be under 4MB. Company description The final step to a complete company profile is crafting a captivating description. It serves as a great opportunity to showcase your brand's unique value proposition and convince potential customers to choose you. Here are some professional tips to guide you: - Instead of simply listing features, focus on how your products or services directly address customer needs and improve their work. - Communicate directly and avoid technical jargon. Use short sentences and bullet points to enhance readability. - Infuse your company's personality into the description. Are you known for innovation? Reliability? Exceptional customer service? Eco? Cruelty free? Let these values speak about you. - Use professional copywriters texts, or AI-tools like Chat GPT or Gemini to improve your own text. These tools can offer suggestions for phrasing and overall structure. It's important to note that AI-generated content should always be reviewed and edited by a human to ensure accuracy and brand consistency. Think of your description as a professional conversation. Clearly explain your brand's story, its core passion, and the specific benefits it offers to the customer. Remember, you cannot include any contact information, such as phone numbers, emails, addresses, links to social network pages, sites, messenger ids, etc. Please, make sure that you hold all the rights to use and publish the provided images, logos, names, brands, etc. We may ask you to provide evidence of that at any time during your use of Suplery.
